Locking the Run and Pack Day: Codes, Sheets, and Handing Boxes Over

You've built the boxes. Two screens left, and they happen in this order: lock the run, then pack it.

Locking the run

CSA → Orders (/portal/orders) → set Show the run for to the pickup day → Lock this run.

Locking freezes what's in every box for that day and gives each one its code — the code a member is told and the code that goes on the label.

Preview it first. Preview lock tells you how many boxes would be locked, how many already are, and anything you're short on. The shortages are what your shelf says, not what's in the field, so you can lock anyway — the number is information, not a veto.

It covers the whole day, not the rows on screen. This catches people. The list you're looking at is narrowed by the status filter and by page size. Locking reaches every box for that date regardless, and the page tells you when those two numbers differ.

Reopening a locked run

Reopen this run puts a locked run back to draft so you can fix a mistake.

It asks first, and the way it asks matters: the first click gets the server's count and puts it on the button; the second click does it. If a box got locked in between, the write is refused rather than quietly doing something bigger than you agreed to.

Every box keeps the code it already had, so nobody is told a new number.

Once anything on that day has been packed, the server refuses to reopen — and it tells you which of the two reasons it was.

Stock is untouched by all of this. Nothing comes off your shelf until a box is actually rung up.

Pack day

CSA → Pack day (/portal/pack-day), then pick the day.

You get one sheet per site. Not one list sorted by site — one sheet each. That distinction is the whole design: a single sorted list is how a box ends up in the wrong van.

The pickup station

A tablet can be set up as a pickup station. It opens on a scan-a-box screen, finds the member by the code on the label, shows what's in the box and what they owe, and checks them in.

It works with no signal. The box list is pulled ahead of time, and check-ins queue up and send themselves later. A church car park with one bar is fine.

It does not take money. That's deliberate — a check-in screen that also took payment is a screen a volunteer can get wrong in an expensive way. Take payment on the checkout screen and put it on that member's account.

One caution about balances on a station with no signal: the number shown is a snapshot and says when it was taken. Don't tell somebody they owe money on the strength of a six-day-old figure.

The switch is CSA Pickup Station, and it's set per device — so only the tablet you carry becomes a station, and the till at your stand doesn't. It's an advanced setting and isn't on your settings page yet, so contact us and name the device.

Box labels

Labels are designed in Printer Studio (/portal/printer-studio), where a box label is a template like any other: the member's name, the site, the pickup window, what's in the box, and a QR.

The QR opens a page showing the box contents and your note, and nothing that identifies a person. Whoever carries the box is often not the person who signed up for it.

It needs your farm's member page address claimed — without one, the QR is left off the label. And remember the order note is published: printed on the label and shown on that page. "Two shares, one bag" is what it's for.

Boxes nobody collected

This is governed by a farm-wide choice: hold them for a late collection, donate them, or write them off.

It ships as hold, because that's the only one you can undo the next morning.

It decides where the box goes, not whether anybody is refunded. Nothing about an uncollected box touches what the member owes. If you want to credit somebody for a box they missed, that's a separate decision you make under Customers.

The setting is Boxes Nobody Collected; contact us to change it.

The shape of a Wednesday

  1. Morning — Build the boxes with what you picked.
  2. Midday — Lock the run. Codes exist now.
  3. Print labels.
  4. Load the van by site sheet, not by one big list.
  5. At the table — check members in on the station tablet, take payments on the till.
  6. End of afternoon — the sheet still shows who hasn't been.
