A u-pick farm does not run a retail year. It runs a retail fortnight, smeared across six or eight Saturdays, and spends the rest of the calendar getting ready for them. Strawberries in May. Blueberries in July. Apples and pumpkins from the last week of September until the wind turns. The gate opens, three hundred people arrive between ten and two, and then it is quiet until next weekend.
That is not a smaller version of a shop. It is a different problem. A shop sizes its checkout for its average hour. A u-pick has to size checkout for its worst hour — and then make it go away again, because nobody wants to pay for lanes in February.
The season is short and the money is real
This is a bigger business than it looks from the roadside. According to USDA's Economic Research Service, U.S. farms and ranches earned $1.26 billion from agritourism and recreational services in 2022 — up 12.4% from 2017 after adjusting for inflation. About 57% of U.S. counties reported some agritourism income at all, with a median county total of $161,000.
The number that matters to you is not the national total, though. It is that your share of it arrives in a handful of four-hour windows. Every operational decision on a u-pick farm is really a decision about peak load.
The gate and the barn are two different moments
The single most useful thing you can do is stop thinking about "checkout" and start thinking about two moments that happen an hour apart and have almost nothing in common.
At the gate, every transaction is identical. One admission, maybe four. Same price, same item, hundreds of times. It is pure throughput, it often happens where there is no signal, and the only thing it has to produce is proof that someone paid.
At the barn, no two transactions match. One family has eleven pounds of apples and a jug of cider. The next has a half-peck, two sunflowers, and a jar of honey they picked up on the way out. This moment needs your whole catalog, and it needs to be forgiving.
Each stage forces one decision on you, and each decision is made long before opening day. Here they are in order, with what actually hangs on each:
Both moments run on the same product list and the same kind of hardware: an Android tablet you probably already own, in a stand, with no card terminal required.
Pricing fruit that has no barcode
Nothing you grew has a UPC on it, so a u-pick catalog is built out of the things you can count.
The container is the SKU. This is the trick most u-picks eventually land on, and it is worth adopting deliberately rather than by accident. A quart, a peck, a half-bushel, a 32-ounce flower cup — each becomes a product with a price, and the guest taps the picture of the one in their hand. It prices instantly, it is impossible to argue with, and it removes the scale from the critical path on your busiest hour.
By the pound, when you have to. Some crops only make sense by weight. The practical pattern is a staffed scale near the exit with the tablet beside it: the container goes on the scale, and whoever is standing there taps the matching weight-priced item on screen. It is one tap more than a barcode and considerably faster than a calculator and a cash box.
Photo recognition for the long tail. For the jams, the honey, the odd bag of shelling peas — the things you sell forty of a season and will never barcode — the guest taps to take a photo and server-side AI identifies the product against your catalog. It is deliberate and customer-initiated: nothing is watching the counter, and nothing lands in the cart on its own. Someone has to ask for it.
The wristband answers two questions
Wristbands look like a nice-to-have until the first Saturday someone walks up the row without one.
They answer did this person pay to get in? and can they come back through? — and they answer both without a staff member holding a clipboard. Because the QR is cryptographically signed, any till can validate a band fully offline. A phone or tablet at the gate can check a wristband with no bars, no Wi-Fi, and no cell plan on the device. This is available as a settings-enabled feature; you turn it on for the season and leave it off the rest of the year.
Be honest about the signal
Your gate is a folding table in a field, and fields do not have Wi-Fi. So it is worth being precise about what does and does not need a connection.
Works offline: barcode and QR scanning is local to the device. Wristband validation is local. Sales are captured on the device and sync up when the tablet comes back into range — the till does not stop taking orders because the signal did.
Needs a connection: AI photo recognition sends the picture to a server, so that one is online-only. Card authorization depends on your payment path and reader; if you are running a gate with no coverage, plan for it deliberately rather than discovering it at 10 a.m. on opening day. The practical answer most farms reach: put the gate on a tablet that can run entirely offline for admission and wristbands, and keep the connected work — cards, photo recognition, reporting — at the barn, where the router is.
Add tills for one weekend, then stand them down
Peak-load retail means your checkout capacity should breathe. Two tills in August, five for the Columbus Day weekend, two again in November.

Kiosk mode uses Android screen pinning to hold a tablet on the checkout screen, which is what you want on a device left unattended at the flower field or the cider shed. It is a meaningful lock, not a vault: pinning is escapable unless you have also done the one-time hardening on the tablet — a device PIN and require-PIN-to-unpin. Do that once per tablet in the spring and forget about it.
Staff you hired on Thursday
Seasonal crews are the other half of the peak-load problem. You cannot run a two-day training on a workforce that turns over every season.
The advantage of self-checkout here is structural: the person your guests interact with is not operating a register, so there is far less to teach. Your staff member is directing traffic, answering questions about what is ripe, and helping the occasional guest who is stuck. For the parts that do need judgment — comping a crushed pint, refunding a rained-out admission, discounting the seconds bin at four o'clock — there is a manager PIN, with a full audit trail behind it, so a seasonal hire can hand the decision up rather than guess. Cart photos can be captured at checkout, which settles the "I only had one peck" conversation without anyone's word against anyone else's; which events trigger a photo is a setting, so decide it on purpose. And the web portal shows sales in real time, so you can see from the house whether the barn is drowning before someone walks up to tell you.
